KNOX AC & HEATING, INC. TERMS & CONDITIONS
1. General
These Terms & Conditions (“Agreement”) apply to all HVAC and Refrigeration services provided by Knox AC & Heating,
2. Scope of Services
- Services include HVAC and commercial refrigeration repair, installation, maintenance, diagnostics, and related work as described - Any work not listed in the original estimate is considered additional and may result in added charges.
- The Company may decline to perform work if unsafe conditions exist.
3. Estimates & Pricing
- Estimates are valid for 30 days from the date issued unless otherwise noted.
- Pricing may change if system conditions differ from what could be reasonably observed during After-hours, emergencies, or holiday work may include additional charges.
4. Payment Terms
- Payment is due at time of service unless prior arrangements are approved.
- Accepted payments: cash, credit/debit card, approved check.
- Balances past 30 days may incur late fees and collection costs.
- Returned checks are subject to a service fee.
5. Warranty
Labor Warranty: 30 days from date of service unless specified otherwise. Parts Warranty: Provided per manufacturer terms.
Warranty is void if:
- Another contractor alters or repairs the system
- Recommended repairs are declined and cause further damage- Customer fails to replace filters or properly maintain equipment
- Damage occurs due to power surges, storms, freezing, flooding, pests, or misuse
The Company is not responsible for pre-existing issues or system failures unrelated to the work performed by Knox AC and Heating
6. Maintenance Membership Agreements
- Members receive the services listed in their membership plan.
- Memberships are non-refundable after services are rendered.
- Missed visits may be rescheduled but not refunded.
- Membership discounts do not apply to system replacements unless specified.
- Maintenance plans do not cover repairs (or labor of said repairs, parts, refrigerant, electrical corrections, or issues caused by neglect of unit
-Membership prices are subject to change. KNOX AC & Heating may adjust membership rates at any time to reflect changes in operating costs, materials, labor, or service enhancements. Continued participation in the membership program after a pricing update constitutes acceptance of the new rate. Memberships will automatically renew on either March 15 or September 15 unless canceled prior to renewal date.
7. Access Requirements Customer agrees to:
- Provide safe, clear access to all HVAC equipment
- Secure pets during service
- Notify the Company of any locked areas, unsafe structures, or hazardous conditions

8. Equipment & Materials
- Equivalent or upgraded parts may be used if original parts are unavailable.
9. Limitation of Liability
Knox AC & Heating is not liable for:
- Mold, water damage, duct issues, building code deficiencies, or structural defects
- System performance issues caused by undersized/oversized equipment installed by others- Damages caused by delays due to supply shortages or manufacturer shipping issues
Maximum liability shall not exceed the total paid for the specific service provided.
10. Cancellations / Rescheduling
- Appointments canceled with less than 24 hours’ notice may incur a cancellation fee.
- No-show appointments are subject to the standard service call charge.
- Scheduling is subject to change based on status of the emergency of services
11. Code Compliance & Permits
- The Company performs work to meet local code requirements.
- Customer is responsible for permit fees unless stated otherwise.
- The Company is not responsible for correcting code issues from prior installations unless
contracted
12. Communications & Privacy
Customers agree to receive service-related text messages, emails, and phone calls. Customer information is kept confidential and will not be sold or shared.
13. Governing Law
This agreement is governed by the laws of the State of Arkansas.
14. Acceptance
Customers agree to these Terms & Conditions by:
- Scheduling services
- Signing quotes or invoices
- Allowing technicians to begin work
- Submitting Payment for service and membership invoice
